Hotel Cancellation Policy

Hotel reservation and payment
Reservations will be handled on a first-come, first-serve basis. In the event your preferred first or second choice is fully booked, the PCO Secretariat (c/o MCI Brussels) reserves the right to assign another hotel in the same category. Rates are per room per night and include breakfast (if not otherwise stated), service charges and taxes.

All hotel bookings must be guaranteed by a one night deposit payment. This deposit will be posted to your hotel account and will be accounted for in your final room bill. You will be responsible for payment of all charges (or balance) at check out.

Early check-in/Late check-out
For an early check-in or late check-out, an additional night reservation is strongly recommended. Regular check in time is 15:00 and regular check out time is 12:00.

Hotel reservations cancellation and/or modifications
All reservation modifications have to be submitted in writing to the PCO secretariat (c/o MCI Brussels)
by fax +32 2 743 15 84 or by email eacmfs-2010@mci-group.com.

All changes are subject to the availability and at the discretion of the hotel. The PCO Secretariat (c/o MCI Brussels) reserves the right to accept or refuse a change, based on the hotel’s availability. In the event that changes are not made in strict compliance with the below cancellation policy, you will be directly and fully responsible for all fees and/or charges imposed. For any modifications on arrival or departure dates from the original reservation, the PCO Secretariat (c/o MCI Brussels) reserves the right to apply the below cancellation policy.

  • Cancellations received before 27 August 2010: no penalty will apply
  • Cancellations received from 28 August to 3 September 2010: the first night deposit will be retained.
  • Cancellations received after 3 September and/or no-shows: 100% penalty (full stay) will apply and will be charged on your credit card.

Please note a handling fee of EUR 50.00 will be charged for every modification and/or cancellation made to your hotel reservation after 30 June 2010.

IMPORTANT NOTE

Specific hotel reservation cancellation policy applicable for the Kempinski Hotel:

  • Cancellations received before 9 August 2010: no penalty will apply.
  • Cancellations received from 10 August to 3 September 2010: the first night deposit will be retained.
  • Cancellations received after 3 September and/or no-shows: 100% penalty (full stay) will apply and will be charged on your credit card.
